Overview

The Gosselin Group is hiring an Office Manager. This role will keep the office functioning as the hub of a busy and successful real estate team at Prominent Properties Sotheby’s International Realty. We are looking for a solution-oriented, forward-thinking person to help us run the day to day operations of our business.

General Responsibilities:

Handle the administrative side of real estate transactions from start to finish

Prepare documents such as contracts, listing agreements, commission statements, addendums, and leases.

Showing follow-up and feedback calls

Creating Property Flyers and Brochures

Coordinate property closings with attorney and title company,

Field tasks as required; coordinating photographer, lockboxes, and signs/sign riders at properties

Multiple Listing Service (MLS) Entry and Generating Comparative Market Analysis (CMA)

General Client care/customer service

 

Help to oversee, assess, support and improve our systems and agents in line with our mission statement.

Manage daily operations and review of all policy and procedures and manuals/handbooks at least annually

Assist with onboarding process including office orientation, basic tech support for new agents

Oversee and coordinate training for agents

Assist agents with general technical questions

Use our system for Tracking & Reporting  (KPIs) and prepare a weekly report

Help prepare for weekly office meetings

 

Basic website support (training provided) & development

Manage and update vendor lists

Mail merge letters and mass mailings via Excel database

The position does not require an active real estate license, however, it would be helpful and may be required for career growth. Preference will be given to those with some real estate experience.

 

Compensation:

 

$35K – $40K base salary (commensurate with experience) + bonus to be determined during the interview process. (We will do a 90-day contract before full-time employment)

This position will have a base salary with opportunity for bonus based on 3 Key Performance Indicators (KPIs) to be overseen by the candidate: Agent Productivity, Agent Growth and Company Profitability.
